You can import and export stock by clicking Import/export in the shop admin panel menu.
Import template
Product codes
The import and export functions will only affect products with codes. If you have products without codes and want them to be included in the import and export, you can either edit the products to give them product codes of your choosing, or click Create product codes. After clicking Create product codes each product will be assigned a code of the form PRODUCT-n, where n is a number.
Exporting stock
To export your existing stock, click Export stock. If there are no products in your shop with stock control enabled, this will produce a minimal template file that you can use. Alternatively, download one of the template files:
Editing the stock file
If you are using Microsoft Excel, please read the note on the Import/export help page.
The stock file consists of a row of column headers, followed by a row for each product variant. Some columns are optional or may occur multiple times, as detailed below. The columns are:
Product code
The code for the product.
Stock
The stock level for the product variant.
Variant group [optional; may occur multiple times]
The variant group that the variant in the following column belongs to.
Variant [must occur after each Variant group column]
The variant, which must belong to the group in the preceding column.
If a product does not have variants that have separate stock levels, the variant group and variant columns should be left blank. If a product does have variants that have separate stock levels, the variant group and variant columns should specify a variant for each variant group that has separate stock levels.
Importing stock
To import your stock file, use the File field to select the file, choose an action using the Action field, and click Import stock. There are three actions available:
Add and update
This action will add stock levels and update existing stock levels. If a product variant is missing from the uploaded file then its stock level will not be changed.
Add, update, and remove
This action will add stock levels and update existing stock levels. If a product variant is missing from the uploaded file then its stock level will be set to 0, as long as the product has a code — products without codes are ignored by the import and export functions.
Check import file only
This action will check that the import file is in the correct format and report any problems. It will not make any changes to the shop.
